Executive Assistant to the Superintendent

Duties

  • Assist and support the Superintendent in the day to day operations of the school district

  • Demonstrate discretion, sound judgment, and ethical behavior in handling confidential situations 

  • Coordinate and oversee the preparation of the Board of Education agenda, dissemination of materials to appropriate persons, attend Board meetings, prepare official minutes of Board meetings and maintain official records of the minutes 

  • Post information on open meetings with appropriate media sources

  • Handle the processing of the Superintendent’s correspondence, inquiries, reports, notices, etc.

  • Maintain accurate filing system for all district documents

  • Purchasing of office supplies

  • Official student enrollment reporting to state

  • Update the website on Board meetings and agendas

  • Ensure compliance with ISBE document retention procedures 

  • Maintain Superintendent Calendar, schedule appointments, make travel arrangements

  • Prepare District 126 Calendars (ISBE, Parent Calendars)

  • Coordinate and maintain facility usage 

  • Administer and oversee the Food Service program (Cook training, parent applications, reporting)

  • Complete General State Aid report to ISBE

  • Maintain security card access system

  • Monitor School Board elections

  • Coordinate Clark Alford and Marilyn Clemens scholarships

  • Coordinate and prepare Report to the Community (three times a year)

  • Process Workers Compensation claims

Qualifications

  • Minimum High School Diploma or equivalent

  • Excellent oral and written communication skills

  • Strong interpersonal skills, 

  • Demonstrated proficiency in using word processing and database programs including speed and accuracy

  • Knowledge of principles, practices and procedures utilized in an administrative office
