This is a full-time position for the 2026-2027 school year, 8 hours per day, 5 days per week, 12 months per year, with an annual salary range of $65,000 - $80,000. Fringe benefits for this position include medical, dental, vision, and term life insurance.
TITLE: HUMAN RESOURCES INFORMATION SYSTEM (HRIS) SPECIALIST

Education and/or Experience: Minimum of an Associate degree in computer science or related field. Computer database, programming, and software systems experience; experience in an educational environment preferred. Meets state/federal guidelines for individuals employed in school districts.
Interpersonal Skills: Ability to establish and maintain effective working relationships with students, staff and the community. Ability to communicate clearly and concisely, both in oral and written forms.
Language Skills: Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, and/or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from small groups of District staff, systems users, vendors and the general public.
Mathematical Skills: Ability to calculate figures and amounts such as proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability: Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form, and to deal with several abstract and concrete variables.
Customer Service: Promptly and politely interact with staff and community to provide and process information in response to inquiries.

While performing the duties of this job, the employee is regularly required to stand and talk or hear. REPORTS TO: Associate Superintendent
JOB GOAL: Responsible for supporting the district in all areas related to the district's HRIS software; the district's substitute teacher software; and the district's recording system for graduate hours; and for providing technical assistance and support to the administration on other H.R. related software and web applications.
CONDITIONS OF EMPLOYMENT: : Twelve month position, with salary and conditions of employment established by the Board of Education.
PERFORMANCE RESPONSIBILITIES:

Maintains and updates the district's HRIS system to ensure accurate and detailed personnel records are maintained within the system for all staff and substitute staff.

Maintains and updates the district's HRIS system as it pertains to positions, including but not limited to the creation of new positions in the system and the change of account codes for grant-funded positions as per the direction of the Director of Finance.

Updates the HRIS system annually for pay rate changes for all returning staff members, including changes in hourly rates or changes in step/lane placement for staff on a schedule (WCT, therapists, stipend positions.)

Updates HRIS tables for pay schedules (WCT, therapists, stipends) annually or as necessary, per the information provided by the district's CFO.

Updates HRIS tables for insurance rate changes as necessary.

Confirms accuracy and integrity of all data entered; maintains data in HRIS systems and databases; and assures information is available on a timely basis.

Prepares annual salary / assignment letters for staff per the language in the Bargaining Agreements for the Woodstock Council of Teachers; the Woodstock School Related Personnel; and the Woodstock Council of Classified Staff.

Prepares and submits staff / personnel reports as required by the Illinois State Board of Education. Such reports include but are not limited to the EIS (Employment Information System) report and the Non-Certified Staff Salary Survey.

Maintains and updates the IASA database for certified staff evaluation records and prepares the required annual report of this data for the administration.

Operates, troubleshoots, updates and maintains the district's chosen automated substitute system, including data entry and report generation.

Monitors the automated substitute system daily for filled/unfilled positions and corrects system-user errors when necessary.

Provides training and assistance to all users of the district's automated substitute system.

Records graduate credit hours earned for certified staff; processes paperwork for tuition reimbursement; and monitors records for hours earned towards salary lane changes.

Performs group data updates, exports, imports and clean-ups of the district's HRIS data as appropriate.

Delivers routine (daily/weekly/monthly) reporting and responds to basic to intermediate ad hoc data requests. Creates queries of personnel data responsive to district administrator requests.

Prepares and distributes staffing plans to district administrative staff members for their review on a scheduled (monthly, annually) basis.

Assists with the development of additions / enhancements to the district's HRIS system, working in cooperation with other district stake-holders and departments, including but not limited to the Technology Department and the Business Services Department.

Assists with the development of additions / enhancements to the district's online application system, working in collaboration with other district staff members per the administration's guidance.

Creates electronic forms for staff, per the administration's input and requests, to support a more streamlined and paperless system for information sharing. Examples of such forms include but are not limited to the annual "Early Paycheck Option" form; the annual "Lane Change" form; and the "Co-curricular Payment Option" form.

Provides first level support to other users of the district's HRIS software system.

Communicates with and collaborates with appropriate district technical support personnel regarding HRIS system trouble-shooting needs.

Participates in continuous staff development activities to maintain and improve job-related skills.

Protects the confidentiality of district & office records and information unless authorized and directed by their supervisor to provide same when requested under the Illinois Freedom of Information Act.

Protects the confidentiality of student records and information according to Board of Education policy and regulations, Illinois Student Records Act and the Family Education and Privacy Act.

Performs other tasks as assigned by the Superintendent or designee.
