District Accountant

Duties

Description:
Full-time District Accountant (12 month position)

General Accounting and Administrative Support

  • Provide full-time accounting and administrative support under the direction of the CSBO/Treasurer.
  • Perform bookkeeping and accounting tasks to ensure efficient and effective school and district operations.
  • Assist in maintaining all financial recordkeeping systems, both electronic and manual.
  • Develop and maintain strong internal financial controls.
  • Maintain knowledge of accounting and financial reporting rules, regulations, and procedures as they pertain to District 113A.
  • Support the Superintendent and CSBO with specialized duties as needed.
  • Ensure the effective and efficient operation of the Business Office.

Financial Operations

  • Reconcile bank statements and perform inter-fund transfers and journal entries as directed.
  • Handle all cash receipts and online transactions associated with district revenue.
  • Assist with investment and cash management activities.
  • Support preparation of monthly financial reports for the Board of Education.
  • Assist in preparing the Annual Budget and related financial spreadsheets.
  • Enter departmental level budget detail into Skyward.
  • Help prepare for the annual audit and respond to auditor inquiries.
  • Taking cash deposits to Chase.
  • Depositing checks to Chase via mobile deposit.
  • Tracking P-Cards, replacing lost cards, and reporting fraudulent charges to BMO.
  • Importing P-Card transactions and monitoring approvals, account codes, and attachments
  • Training new staff on P-Cards, including recording training videos
  • Completing journal entries requested by departments and CSBO and loading the backup documentation into Skyward.

Recordkeeping and Data Management

  • Maintain all district financial records and state recordkeeping systems.
  • Create and maintain detailed financial databases and related reporting tools.
  • Track and manage records for teacher and school budgets, student activity accounts, online purchases, and grant expenditure reports.
  • Use electronic and manual filing systems to ensure efficient record collection, retention, and retrieval.
  • Maintain confidentiality of all financial records.
  • Tracking outstanding student fee balances.  
  • Sending correspondence in Skyward Student regarding outstanding fees
  • Approving/Denying fee waivers and sending letters to parents
  • Assist with programmatic changes within Skyward related to employee usage authorities, report changes, and other needs as directed by the CSBO
  • Work with District Office staff in maintaining the physical files kept in the records room.

Communication and Customer Service

  • Serve as the internal and external point of contact for administrative staff, teachers, booster organizations, parents/guardians, students, and community members regarding financial operations and reporting.
  • Act as liaison for the CSBO/Treasurer to communicate rules, policies, procedures, and regulations.
  • Respond to inquiries via letter, phone, email, fax, or in person.
  • Coordinate the transfer of information between schools, programs, outside agencies, and districts.
  • Maintain internal communication systems to keep staff informed.
  • Maintain strong working relationships with banking representatives and support updates to authorization levels as needed.
  • Initiate and manage fund transfers to meet Accounts Payable and Payroll distribution requirements.

Additional Support Duties

  • Assist with the development and completion of accounting spreadsheets and files as requested.
  • Serve as backup to payroll and accounts payable position.
  • Perform other duties as assigned by the CSBO/Treasurer.


Qualifications

Qualifications:
Undergraduate degree, preferably in Accounting; 
School District accounting/bookkeeping experience preferred;
Knowledge of IL Program Accounting Manual preferred;
Knowledge of Skyward, RevTrak, and IWAS preferred;
Proficient in computer skills, which include MS Office and Google;
Broad knowledge of office and administrative procedures and functions;
Must be detail oriented and deadline driven with strong organizational, written and oral communication skills;
Must be able to manage multiple tasks;
Must be able to work independently and as part of a team;
Must have excellent analytical ability to proactively work out problems ad implement solutions;
Must maintain a high level of professionalism, integrity, trust and confidence.

Salary/Benefits

Starting Salary Range: $65,000-70,000 based on experience
