Unit Office Payroll Specialist/Recording Secretary APPLY ONLINE

Duties

PERFORMANCE RESPONSIBILITIES:

  • Exercises discretion overseeing confidential information
  • Maintains integrity in independent judgments with respect to matters of significance
  • Provide administrative assistance to the Superintendent
  • Preparation of all BOE minutes including closed session notes when appropriate
  • Preparation of committee minutes and/or disciplinary hearings
  • Preparation of ISBE Required Annual Reports
  • Processes and manages semi-monthly payroll and reports associated with payroll
  • Manages personnel sick leave/vacation reporting
  • Manages District substitute reports
  • Preparation of Annual Site-Based Report
  • Collaborates with Auditor to complete Annual Audit
  • Manages District health, dental, life, and vision insurances
  • Completes IRS PCORI Form 721
  • Preparation of monthly Treasurer’s Report
  • Serve as FOIA Assistant - coordinate requested information
  • Preparation of annual employment contracts for all employees
  • Assists in preparation of the District’s annual budget
  • Prepare quarterly Medicaid, payroll taxes, and IL Dept. of Employment Security reports
  • Prepares Annual District Faculty and Committee Handbooks
  • Preparation of Teacher Retirement Service (TRS) Annual Report/Salary Reporting
  • Preparation of Reduction in Force documents
  • Compiles and reports necessary information for annual Worker’s Compensation audit
  • Preparation of W-2 and 1094-C forms for all employees
  • Manages the District’s posting of job vacancies and hiring process
  • Conducts yearly open enrollment for employee benefit programs
  • Preparation of the District’s Annual Seniority Lists
  • Assists the Superintendent and Board of Education in labor negotiations matters

 

OTHER DUTIES:

  • Performs other related duties as assigned by the Superintendent
  • Is punctual in all duties and responsibilities
  • Uses proper grammar, enunciation, and modulation
  • Accepts and profits from constructive criticism
  • Establishes good rapport with colleagues and other members of the faculty and staff
  • Adheres to school and district policy and procedures
  • Cooperates and accepts responsibilities
  • Cooperatively participates in critical analysis of his/her performance
  • Maintains a great daily attendance record (over a two-year period)

Qualifications

  1. Associate Degree in accounting or equivalent experience
  2. Minimum three (3) years bookkeeping experience
  3. Excellent organizational skills and attention to detail
  4. Working knowledge of Microsoft Office and Google programs.
  5. Experience with administrative and/or financial management software preferred.
  6. Establish and maintain effective and courteous working relationships with those contacted in the course of work (students, parents, and staff).
  7. Excellent written and verbal communication skills
  8. Ability to understand and follow oral and written instructions
  9. Must be eligible to be bonded

Salary/Benefits

Expected to be between $50,000 - $65,000, based on qualifications and experience.
