Administrative Assistant for Student Services (12 month position)
Duties
- Provide administrative and clerical support to the Student Services Department, including scheduling, correspondence, filing, and record maintenance
- Coordinate with the Business Office and special education cooperative for billing, attendance, transportation, and other program-related matters
- Maintain communication with parents/guardians and staff and serve as a point of contact for families, staff, and outside agencies regarding Student Services inquiries
- Maintain confidential student records in compliance with FERPA and district procedures
- Assist with data entry, reporting, and document management related to special education and student services
- Assist in the enrollment, attendance, and student information system/IEP system process
- Coordinate transportation of students with disabilities in collaboration with the transportation department within the district and the cooperative
- Work with Human Resources to complete hiring compliance requirements for department staff
- Support compliance activities related to state and federal timelines and documentation
- Assist with departmental purchasing, invoices, and budget tracking as assigned
- Prepare materials for meetings and departmental activities
- Perform other duties as assigned by the Assistant Superintendent of Student Services or designee
Qualifications
- Spanish Bilingual preferred
- High school diploma required; associate degree or coursework in office administration or a related field preferred
- Minimum of two years of administrative or secretarial experience, preferably in a school or educational setting
- Knowledge of special education processes, terminology, or student services preferred
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Demonstrated ability to handle sensitive and confidential information with professionalism and discretion
- Proficient in Microsoft Office and Google Workspace; experience with student information systems preferred
- Strong written, verbal, and interpersonal communication skills
Salary/Benefits
- Salary range: $47,000 - $62,000
