Administrative Assistant for Student Services (12 month position)

Duties

  • Provide administrative and clerical support to the Student Services Department, including scheduling, correspondence, filing, and record maintenance
  • Coordinate with the Business Office and special education cooperative for billing, attendance, transportation, and other program-related matters
  • Maintain communication with parents/guardians and staff and serve as a point of contact for families, staff, and outside agencies regarding Student Services inquiries
  • Maintain confidential student records in compliance with FERPA and district procedures
  • Assist with data entry, reporting, and document management related to special education and student services
  • Assist in the enrollment, attendance, and student information system/IEP system process
  • Coordinate transportation of students with disabilities in collaboration with the transportation department within the district and the cooperative 
  • Work with Human Resources to complete hiring compliance requirements for department staff
  • Support compliance activities related to state and federal timelines and documentation
  • Assist with departmental purchasing, invoices, and budget tracking as assigned
  • Prepare materials for meetings and departmental activities
  • Perform other duties as assigned by the Assistant Superintendent of Student Services or designee

Qualifications

  • Spanish Bilingual preferred
  • High school diploma required; associate degree or coursework in office administration or a related field preferred
  • Minimum of two years of administrative or secretarial experience, preferably in a school or educational setting
  • Knowledge of special education processes, terminology, or student services preferred
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Demonstrated ability to handle sensitive and confidential information with professionalism and discretion
  • Proficient in Microsoft Office and Google Workspace; experience with student information systems preferred
  • Strong written, verbal, and interpersonal communication skills

Salary/Benefits

  • Salary range: $47,000 -  $62,000
