Duties
Support to Business Manager & Payroll Specialist (Primary Function)
Quarterly Responsibilities
- Prepare and submit Quarterly Medicaid Administrative Claim Reports.
- Assist Payroll Specialist with quarterly wage/contribution reporting (IDOL, IMRF, TRS as required).
- Support quarterly insurance reconciliation and liability, property, and workers’ compensation reporting.
- Assist Business Manager in preparing quarterly financial summaries or compliance reporting for Cabinet and the Board.
Monthly Responsibilities
- Prepare and submit monthly meal claims for all federal nutrition programs.
- Track workers’ compensation claims and communicate updates to district leadership.
- Reconcile petty cash receipts and disbursements.
Annual Responsibilities
- Support annual Open Enrollment, benefit changes, and onboarding sessions.
- Assist with annual audit preparation and organization of required financial and insurance documentation.
- Assist with annual NSLP RFP/bid preparation and ISBE-required reporting.
- Support annual state and federal submissions as required.
Employee Benefits, Insurance, and Risk Management
- Manage employee and student accident reports.
- Track and follow up on workers’ compensation claims and return-to-work status.
- Maintain accurate benefits records and documentation.
- Coordinate with the district’s insurance broker for claims and updates.
Nutrition Services Administration
- Submit monthly claims for NSLP, SBP, Snack Program, and Seamless Summer.
- Assist with the NSLP RFP/bid process and documentation.
- Ensure compliance with ISBE requirements for all Child Nutrition Programs.
- Conduct or assist with required on-site reviews at schools.
- Maintain meal count documentation and corrective action records.
Administrative Assistant Support — Curriculum, Instruction & Assessment
- Schedule meetings, coordinate calendars, and manage communication.
- Prepare agendas, meeting minutes, and memos.
- Support professional development logistics and instructional program documentation.
- Maintain electronic and physical filing systems for curriculum and assessment.
- Assist with data collection, reporting needs, and instructional records management.
Administrative Assistant Support — IT Department
- Schedule and organize IT meetings, trainings, and project timelines.
- Assist with inventory tracking, device deployment records, and purchase orders.
- Maintain communication logs, help desk summaries, and documentation records.
- Support IT staff with clerical and organizational tasks.
Additional Office & Clerical Support
- Assist with Board Clerk responsibilities when assigned.
- Provide coverage for reception, HR, Payroll, or Business Office operations as needed.
- Maintain organized office systems, documentation logs, and retention files.
- Perform other duties as assigned by the Business Manager or Superintendent.
