Duties

  • Execute bi-weekly payroll functions working closely with the Treasurer’s Office
  • Remit bi-weekly payroll deductions
  • Record changes affecting net wages such as exemptions and insurance coverage, for each employee to update master payroll records
  • Submit payroll totals for board approval
  • Sort and distribute payroll checks
  • Maintain payroll records
  • Respond to all payroll-related correspondence, including governmental inquiries, surveys, and management of payroll audits
  • Calculate and implement salary increases for salaried employees due to change in status and step/lane changes
  • Notify teachers of all step/lane changes throughout the year
  • Monthly reporting requirements to TRS, IMRF, and IDES
  • Submit enrollments and terminations to IMRF/TRS
  • Complete quarterly reporting requirements for state and federal entities
  • Prepare and submit the Teachers’ Retirement System of Illinois Annual Report,  including creditable earnings 
  • Create salary information reports for use in budget preparation and union negotiations
  • Determine fiscal and annual pay dates for certified and non-certified personnel
  • Distribute and audit annual W-2 forms
  • Update attendance records within payroll system each year
  • Coordinate and implement coding according to grant requirements
  • Set up deductions for benefits, union dues, credit union, Section 125 plan, annuities, garnishments
  • Adhere to collective bargaining agreements, procedures, and board policy
  • Act as a back-up to Accounts Payable and Administrative Secretary
  • Establish and maintain all attendance records both in payroll program and absence program - Frontline Absence Management
  • Assist and troubleshoot attendance issues
  • Update employee attendance days annually according to collective bargaining agreements and board policy
  • Reconcile substitute days for payment

Qualifications

  • High School Diploma
  • Previous experience in payroll (school payroll experience preferred)
  • Knowledge of bookkeeping/record-keeping procedures
  • Knowledge of state and federal withholding statements
  • Knowledge of TRS and IMRF rules and regulations
  • Proficiency in computer use, including familiarity with office software applications (e.g., word processing, spreadsheets, email, and presentation tools)
  • Ability to exercise initiative, independent judgment, and discretion in performing duties
  • Ability to adapt productively to change and handle additional tasks as assigned in a positive manner
  • Strong analytical and writing skills
  • Ability to maintain strict confidentiality
  • Ability to meet firm statutory deadlines
  • Ability to work both independently and as part of a team
  • Excellent organizational skills, strong interpersonal skills, and clear, professional communication abilities
