Share: Print: Duties Position Type: Support Staff/12 Month Position Date Posted: 9/22/2023 Location: Pupil Personnel Services Department Date Available: 07/01/2024 Job Summary: The PPS Financial Secretary performs secretarial responsibilities necessary for an efficient and effective office. The individual assists the Director of Pupil Personnel services in the performance of their responsibilities. · Handles mail and correspondence of the office, responding to routine requests for information and data processing. · Ensures that all communications from the office meet proper written and oral English standards. · Greets visitors and answers telephone calls in a pleasant and efficient manner, communicating effectively in routine, sensitive and confidential matters. · Maintains an efficient and well-organized electronic paper data collection and filing systems, including confidential files. · Compiles and organizes data and information necessary for the efficient operation of the office, the completion of required District and State data collections, and the completion of the administrator’s responsibilities. · Works with the Director of PPS to order materials for staff throughout the District. · Orders and maintains office supplies and provides for the maintenance and repair of equipment. · Assists the Director of PPS in managing the budget in iVisions. · Creates and maintains a clean, attractive, orderly, safe and efficient office environment. · Recommends to the administrator improvements needed in office procedures or operation. · Works cooperatively with staff members on the completion of large or time sensitive projects or emergencies. · Maintains a safe working condition and operates electronic and other equipment needed to carry out job functions and responsibilities. Qualifications Qualifications: High School Diploma or equivalent required. Graduate of a recognized program of secretarial studies preferred. Three years’ experience as a secretary or two years’ experience as school secretary preferred. Ability to effectively communicate verbally and in writing with staff, parents, and the general public in a clear, articulate, and courteous manner. Ability to communicate with a diverse community. Demonstrated proficiency using Microsoft Office programs, such as Word and Excel, and other school-related software. Demonstrated proficiency in office related tasks such as typing, filing, and organization. Demonstrates appropriate telephone etiquette, with proper voice inflection. Ability to positively react to change productively and handle additional tasks as assigned. Flexibility to work alone or with others in a wide variety of circumstances. Ability to exercise good judgment and work in an environment with frequent interruptions. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, fractions, and decimals. Ability to maintain confidentiality.
