Duties

GENERAL RESPONSIBILITIES: The position is responsible for working directly in a support role to the Chief School Business Official. This position provides office support, prepares and maintains a variety of records and reports related to assigned activities, while maintaining confidentiality of sensitive and personal information.

 

REPORTS TO: Chief School Business Official

 

RESPONSIBILITIES:

 

  1. Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
  2. Performs a wide variety of clerical duties, including but not limited to typing and preparing letters, memoranda, reports, requisitions, spreadsheets, and other materials. 
  3. Provides information and prepares informational brochures, pamphlets, mailings, and other material pertinent to assigned administrative personnel.
  4. Maintains a variety of confidential files and records, compiling pertinent information in assigned areas for the purpose of ensuring accuracy of materials and complying with all federal/state/district regulations. 
  5. Maintains accurate records and secures confidential information. 
  6. Gathers, reviews and maintains reports, forms, records, supporting documentation, and other information needed in support of delegated responsibilities.
  7. Answers phones, directs calls, takes messages and assists as needed with courtesy and professionalism.
  8. Schedules meetings and appointments and maintains a calendar of events for the assigned administrator.
  9. Makes travel arrangements and prepares expense/reimbursement forms.
  10. Attends and participates in assigned meetings and training; prepares minutes from notes as required.
  11. Responds to inquiries from a variety of internal and external parties for the purpose of providing information, facilitating communication among parties and/or providing direction.   
  12. Serves as a point of contact for presenters/consultants and participants to ensure all necessary arrangements for training or office meetings are complete.
  13. Supports the coordination of District and State assessments/reports.
  14. Directs, sorts, and handles all correspondence for the assigned administrative personnel.
  15. Ensures adequate equipment, supplies and material in support of assigned administrative personnel.
  16. Performs all other duties as assigned by assigned administrative personnel.

 

TERMS OF EMPLOYMENT:  Non-exempt. Work calendar and salary to be established by the Board of Education. The work hours for this position are 8:00 am to 4:30 pm (includes two 15 minute breaks and one 30 minute lunch).

Qualifications

  1. High school diploma; two years of college preferred

  2. A minimum of two years of relevant secretarial experience, preferably in a school district setting

  3. Excellent organizational, interpersonal, and decision-making skills

  4. Exhibits professionalism in dealing with various constituencies

  5. Strong written and oral communication skills in both English and Spanish preferred

  6. Ability to work independently and efficiently with minimal oversight in a deadline-driven environment

  7. Ability to work effectively under pressure and demonstrate problem-solving skills, while maintaining courtesy, professionalism, and a customer service attitude

  8. Ability to maintain confidentiality 

  9. Strong computer skills

  10. Ability to travel to and from various locations as needed
