Duties

Performance Responsibilities:

  • Promptly acknowledge and welcome visitors by greeting them professionally and assisting with their inquiries
  • Answer incoming phone calls and emails in a timely manner and direct each appropriately
  • Work cooperatively with others to support an efficient office environment
  • Maintain office security by following safety procedures, checking the visitor management system and issuing visitor badges if requested to do so
  • Coordinate facility usage by processing building usage applications, maintaining the building schedules, and communicating set-up requirements with the maintenance staff
  • Assist with all aspects of student transportation, including bus registration and working with the bus company and schools on routes, ridership and other issues
  • Assist with the onboarding and support of substitute teachers
  • Organize and maintain a variety of files and records, including management of the district’s archives (retention and destruction)
  • Process student records for those exiting the District by cleaning out the cumulative file, making copies and forwarding to the new school
  • Coordinate and maintain the business office website and Intranet
  • Receive, sort and distribute daily mail and deliveries
  • Review and distribute printed and electronic news publications related to District 28 and other schools
  • Assist the chief school business official and director of buildings and grounds with department operations
  • Actively participate in team and committee meetings when applicable
  • Perform other appropriate tasks as assigned by the chief school business official

Qualifications

Qualifications:

  • Excellent interpersonal skills with a supportive demeanor and genuine enjoyment of working with staff, students, parents and the community
  • Must be able to effectively interact with parents and other visitors who may be difficult when seeking assistance
  • Ability to establish and maintain effective working relationships with district office personnel and the schools' employees
  • Ability to exercise independent judgment and discretion in all matters, take initiative, work independently or coordinate with others as needed 
  • Strong organizational and project management skills, working with details and maintaining accurate records
  • Excellent competencies in writing clear and concise memoranda, basic financial literacy, and use of software tools and other technology resources
  • Capacity to carry out instructions and develop comprehensive plans with minimal supervision
  • Demonstrated success working in an environment with multiple priorities and some periods of high volume work activity
  • Capable of handling matters of a confidential nature
  • Working knowledge of the operation of all types of office machines
  • Willingness to learn and become proficient in technology applications and other electronic programs that support district operations

Salary/Benefits

Terms of Employment:  
12-Month Position (11-Month Position to be considered); Salary and benefits as determined annually by the D28 Board of Education
