Duties

Purpose:

To serve as a resource for all staff for any issues starting with the hiring process all the way through separation from the district. To regularly and directly assist the Executive Director of Human Resources in the coordination of all Human Resources functions as defined by the Board of Education’s policies and procedures and the Illinois School Code.

 Hiring and Onboarding:

  • Act as first contact for new hires; including explaining hiring procedures/requirements, benefits, and orientations when necessary, ensuring all requirements are met in a timely manner.
  • Create and maintain accurate and secure personnel records for all employee groups, such as enrollment forms, evaluations, contracts, transcripts, etc. 
  • Update other departments with new hire information (Information Systems, Payroll, other Human Resources Staff).
  • Ensure new hires are correctly entered into the Payroll System (Skyward) for timely payroll processing, and the Benefits/Admin System for timely benefit election and processing.
  • Update Personnel Transactions with hiring information.

Annual Tasks:

  • Create a staffing plan and budget within the Salary Negotiations portal of Skyward.
  • Create the Seniority List for distribution by February 1st of each year.
  • Create the Reduction In Force (RIF) list to be used if a RIF is necessary and prepare letters for distribution.
  • Create and send out Board of Education communications regarding staff being released.
  • Create Assignment Notices for current staff for the following year.
  • Create Additional Assignment Contracts for staff when necessary.
  • Process staff leaving the district in the Payroll System (Skyward), the Benefits System, and the HR record keeping system.
  • Create an Evaluation list at the beginning of each year. Prepare notification memos to be sent out to staff by the first day of school.
  • Manage the Open Enrollment process for insurance plans. 
  • Manage the mandated training modules system (GCN).
  • Reconcile time off between Web Navigator system and Skyward and allocate new balances.
  • Communicate with staff on extended leaves.
  • Prepares and sends out annual Letters of Assurance to substitutes.
  • Updates and enters annual calendars in the Web Navigator system.

Ongoing Tasks:

  • Process unemployment claims as they are received.
  • Create and manage a master staff list for the entire district.
  • Participate in FMLA leave process including but not limited to creation and distribution of paperwork, following up with staff and ensuring all requirements are met.
  • Reconcile personal, bereavement and jury duty day requests with supporting paperwork.  
  • Runs Web Navigator reports and sends them to payroll for processing of time off and substitute pay records.
  • Prepares and sends reports to the Student Services Department  and Curriculum Department for grant reporting.
  • Coordinates tuition reimbursement and educational advancement.
  • Collaborating and managing the budget allocation for the department.
  • Update and manage job postings for individual schools and the district.
  • Provides Web Navigator system support to the building secretaries, principals and other district staff.
  • Creates and maintains the Professional Development Substitute Calendar.
  • Updates and maintains a substitute database in Web Navigator system, on informational spreadsheets, and other databases.
  • Updates and manages staff and substitute licensure information.

State Reporting:

  • Process mandated reports including, but not limited to, the Employment Information System (EIS) report, the Reduction in Force report, the Unfilled Positions Report, the Certified and Non-Certified Staff Salary Studies.
  • Complete the school calendar in the State portal. 
  • Create the required Compensation Reports for posting on the District website as mandated. 

.Other Functions:

  • Prepares reports as requested.
  • Assumes other duties as assigned.

Qualifications

  • Experience in Human Resources preferred
  • Bilingual Speaking Spanish Preferred
  • Experience in a fast paced secretarial environment required

Salary/Benefits

Salary ranges from $65,000 - $75,000, plus benefits. 

Final salary offer negotiable based on qualifications and experience.
