Duties
Job Summary:
The School Secretary performs a wide variety of clerical and secretarial duties to organize, coordinate and schedule school office activities. The School Secretary assists the principal in administrative tasks necessary for an efficient and effective office. The School Secretary performs public relations and coordinates communications between administrators, District and site personnel, parents, students and the community.
Primary Responsibilities:
- Organizes and maintains an efficient and effective office that handles a variety of tasks for the administration, faculty, students, and parents of the school.
- Distributes mail and handles correspondence of the office, responding to routine requests for information, and transcribing, word processing, and proofing letters and responses.
- Types, reproduces and distributes notices to staff, students and parents.
- Acts as a receptionist, greeting visitors, answering telephone calls in a pleasant and efficient manner, and communicating effectively in routine, sensitive, and confidential matters.
- Maintains security by following the District’s visitor procedures.
- Registers new students, secures appropriate student records, maintains confidential student records, and transfers records for students moving to other schools.
- Assists the principal and assistant principal in ensuring that attendance for all staff is properly entered into the electronic absence management system.
- Ensures that staff enters student attendance in the District’s electronic student management system.
- Manages excused and unexcused student absences, and tardies in the District’s electronic student management system.
- Assists the principal in scheduling and coordinating safety drills, field trips, assemblies, and fundraisers.
- Collects monies, makes weekly deposits, and maintains accounts as indicated by the principal.
- Processes teacher orders for supplies and educational materials.
- Orders and maintains office supplies.
- Works cooperatively with staff in other offices with the completion of large or time sensitive projects or emergencies.

Work Conditions:
- Work Hours: 8:00 a.m. to 3:30 p.m.
- 10 ½ -month position (August 1 through mid-June)
