Duties
Supervised By: Superintendent/Principal/Director of Facilities
Objective/Purpose: The Assistant Director of Facilities supports the Director of Facilities in the effective management and operation of the district's facilities and grounds. The primary responsibility of this position is the supervision, coordination, and management of facilities staff. The Assistant Director provides day-to-day leadership to custodial, maintenance, grounds, and other assigned facilities personnel to ensure staff are properly scheduled, supported, trained, and held accountable for meeting district expectations.
This position serves as a key liaison between facilities staff, building administrators, district administration, and the Director of Facilities. The Assistant Director promotes a professional, safe, efficient, and service-oriented work environment while ensuring facilities staff consistently meet established district standards.
Direct Reports: All custodial, maintenance, grounds, and other designated facilities personnel.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Staff Management and Supervision
- Provide daily supervision and direction to assigned facilities staff.
- Assist the Director of Facilities with the overall management of custodial, maintenance, grounds, and other facilities personnel.
- Develop and maintain staff schedules, assignments, and coverage plans.
- Monitor employee attendance, punctuality, work assignments, and overall job performance.
- Ensure adequate staffing and coverage for regular operations, events, emergencies, and special projects.
- Assign and prioritize daily and long-term work responsibilities based on district and building needs.
- Conduct regular check-ins with employees to address questions, concerns, workload, and job expectations.
- Provide coaching, guidance, and corrective feedback when performance or conduct does not meet expectations.
- Assist with employee evaluations, performance improvement plans, and progressive discipline as appropriate.
- Recognize and promote strong employee performance and positive contributions.
- Help resolve employee concerns and workplace conflicts in a timely and professional manner.
- Promote teamwork, professionalism, accountability, and positive working relationships among facilities staff.
Training and Employee Development
- Assist in developing and implementing training programs for facilities employees.
- Ensure staff receive appropriate training regarding safety procedures, equipment, cleaning practices, emergency procedures, and district expectations.
- Identify training and professional development needs among facilities personnel.
- Assist with onboarding and training new facilities employees.
- Ensure employees understand their assigned responsibilities, performance expectations, and district procedures.
- Maintain awareness of required certifications, training, and compliance requirements for applicable staff.
Work Order and Assignment Management
- Monitor the completion of daily work assignments and work orders.
- Assist in prioritizing requests based on urgency, safety, building needs, and available staffing.
- Follow up with staff to ensure assigned work is completed appropriately and within expected timeframes.
- Communicate with building administrators regarding the status of facilities requests and concerns.
- Identify recurring facility or staffing issues and communicate them to the Director of Facilities.
- Assist with coordinating staff for district events, athletic activities, building rentals, and other special events.
Communication and Customer Service
- Serve as a primary point of contact for facilities staff regarding daily operational questions and concerns.
- Maintain regular communication with building administrators and district personnel regarding facilities needs.
- Respond to building and staff concerns in a timely and professional manner.
- Promote a customer-service mindset among facilities employees.
- Ensure facilities staff maintain professional relationships with students, staff, visitors, vendors, and community members.
- Communicate changes in procedures, schedules, expectations, and district priorities to facilities personnel.
Safety and Compliance
- Promote a safe working environment for all facilities employees.
- Ensure staff follow district safety procedures and applicable laws, regulations, and workplace requirements.
- Assist with monitoring proper use of equipment, chemicals, vehicles, tools, and other facilities-related resources.
- Report safety concerns, accidents, injuries, or hazardous conditions to the appropriate administrator.
- Assist with emergency response and facility-related incidents when necessary.
Administrative Responsibilities
- Assist the Director of Facilities with developing staffing plans, schedules, and operational procedures.
- Maintain accurate records related to staffing, assignments, attendance, training, and performance as assigned.
- Assist with interviewing, hiring, onboarding, and placement of facilities employees.
- Provide input regarding staffing needs, employee performance, and departmental operations.
- Assist with developing and implementing department procedures and expectations.
- Monitor staffing levels and recommend adjustments when operational needs change.
- Assist with managing overtime, substitute coverage, and additional staffing needs.
- Perform other duties as assigned by the Director of Facilities or district administration.
Qualifications
QUALIFICATIONS
Required:
- High school diploma or equivalent.
- Experience supervising or managing employees.
- Strong organizational and communication skills.
- Ability to effectively prioritize multiple assignments and competing demands.
- Ability to work independently and make sound day-to-day decisions.
- Ability to establish positive working relationships with employees, administrators, students, and community members.
- Demonstrated ability to address employee performance and workplace concerns professionally.
Preferred:
- Experience working in school, municipal, commercial, or institutional facilities.
- Experience supervising custodial, maintenance, grounds, or similar staff.
- Previous experience in a lead, supervisory, or management position.
- Knowledge of facility operations, custodial services, maintenance, groundskeeping, or building operations.
- Experience with employee scheduling, work-order systems, or facilities management software.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
The employee must be able to perform the essential functions of the position with or without reasonable accommodation.
Physical Requirements
- Frequently walk, stand, climb stairs, and travel between district facilities.
- Frequently bend, stoop, kneel, crouch, reach, and work in confined spaces.
- Frequently inspect rooftops, mechanical rooms, maintenance areas, construction sites, athletic facilities, and grounds.
- Climb ladders and access elevated work locations.
- Operate district vehicles and standard office equipment.
- Frequently lift, carry, push, or pull up to 25 pounds.
- Occasionally lift, carry, push, or pull up to 50 pounds independently.
- Occasionally move or position up to 75 pounds with assistance or mechanical equipment.
Work Environment
- Work is performed in offices, school buildings, maintenance areas, athletic facilities, rooftops, construction sites, and outdoor environments.
- Exposure to varying temperatures, weather conditions, machinery, chemicals, dust, and noise may occur.
- Must be available to respond to emergencies during evenings, weekends, holidays, and other non-duty hours.
Position requires 24-hour on-call availability for significant facility emergencies
Salary/Benefits
Salary/Benefits
The salary range for this position is $60,000-$73,000. This position is eligible for Medical/Dental/Vision/ Life Insurance, IMRF Retirement, Sick/Person/Vacation Paid Time-Off, Tuition Reimbursement, 403(b), HSA, and EAP Services.
