Duties
- Financial & Bookkeeping Responsibilities
- Process accounts payable, vendor invoices, purchase orders, and reimbursements.
- Prepare and process payments as directed.
- Maintain financial records and supporting documentation.
- Process cash receipts and prepare bank deposits.
- Perform bank reconciliations.
- Maintain activity accounts, imprest accounts, and petty cash records.
- Track purchases and assist with procurement activities.
- Assist the Superintendent and CSBO by gathering data, preparing documentation, maintaining records, and providing administrative support for budget preparation, financial reporting, grant management, audits, tax levy preparation, Treasurer's Reports, payroll, and state reporting requirements.
- Prepare reports and documentation as requested.
- Maintain confidentiality of all financial records and transactions.
- Payroll & Human Resources
- Assist with payroll processing and payroll documentation.
- Maintain employee personnel files and records.
- Assist with onboarding and offboarding procedures.
- Coordinate employee attendance and leave records.
- Assist with substitute employee scheduling and recordkeeping.
- Support annual benefits open enrollment activities.
- Assist with Employment Information System (EIS) reporting and other state personnel reporting requirements.
- Office Management & Administrative Support
- Coordinate daily operations of the District office.
- Serve as backup support for front office operations as needed.
- Maintain District records, filing systems, and document retention procedures.
- Answer inquiries and provide assistance to staff, parents, vendors, and community members.
- Assist with Board of Education meeting preparation, materials, and communications.
- Serve as Board Recording Secretary, attend Board of Education meetings as assigned, and prepare official Board minutes and records.
- Maintain office supply inventories and coordinate purchasing of office materials.
- Coordinate copier leases, maintenance requests, and supply orders.
- Operations & Facilities Support
- Assist with maintenance requests and communication with service providers.
- Coordinate HVAC service scheduling and repair documentation.
- Manage building access systems, key fobs, and related records.
- Assist with transportation-related administrative functions, field trip coordination, and communication with transportation personnel.
- Assist with preparation, collection, verification, and submission of data required for the Illinois State Board of Education Transportation Claim and related transportation reports.
- Assist with oversight and maintenance of Brightwheel and other District software systems.
- Communication & Collaboration
- Work collaboratively with the Superintendent, CSBO, staff, vendors, auditors, and regulatory agencies.
- Provide timely and accurate information to support District operations.
- Participate in training and professional development activities.
- Perform other duties as assigned by the Superintendent.

Qualifications
Required:
- Bachelor's degree in accounting, bookkeeping, business, or related field.
- Experience in bookkeeping, accounting, payroll, business office operations, or administrative management.
- Strong organizational skills and attention to detail.
- Proficiency with spreadsheets, accounting software, and office productivity software.
Preferred:
- Master's degree in accounting, bookkeeping, business, or related field.
- Experience in an Illinois school district business office.
- Knowledge of Illinois school finance procedures and state reporting systems.
- Experience with payroll processing and personnel record management.
Physical requirements and working conditions shall be consistent with District policy and the essential functions of the position.
