Admn. Asst. to Department of Student Serrvices

Duties

Duties: The primary duty of the Student Services Administrative Assistant is to assist, support, and provide secretarial services to the administration of Student Services.  

 

Responsibilities: Responsibilities of the building secretary include but are not limited to: 

  1. Fill "request for materials and supplies" form as per building policy. 
  2. Sort, distribute, and open Student Services mail. 
  3. Do general office filing. 
  4. Place postage on correspondence and/or packages that are to be mailed. Mail items. 
  5. Maintain and update student files and other records. . 
  6. Assist the psychologist, speech pathologist, social worker, and special education administration. 
  7. Answer all incoming phone calls and notate messages when necessary. 
  8. Duplicate and copy materials when necessary. 
  9. Greet parents and business callers who have come to the office for various reasons. 
  10. Summons the custodian as needed, such as for deliveries, clean up, etc. 
  11. Maintain up-to-date student listings (class lists, phone/address lists, honor roll, etc.). 
  12. Check and maintain office machines. 
  13. Organize and submit to the district bookkeeper.
  14. Maintain sign-in sheets for District Services Staff for payroll. 
  15. Complete and maintain supply orders from Student Services Department. Once items have been ordered and received, pull the packing slip and invoice and send to the district office. 
  16. Complete other tasks assigned by the Director or Assistant Director.   
  17. Assist administration in preparing the class schedule for the new school year. 
  18. Verify all books and supplies delivered from the district office. 
  19. Update inventory for the student services office. 

20. Send student records and related administrative records upon request from outside agencies.  

21. Keep accurate records and complete data entry to ISBE, iStar, iTames and varies databases.

22.  Keep accurate records for transportation private transportation for Student Services.

23.  Check and submit invoices received for Student Services out-of-district students (tuition, transportation, etc.) to District Office for payment.

24.  Keep accurate records for McKinney-Vento (documentation, transportation, supplies, etc.).

25.  Other duties assigned by administration/supervisor. District 155 expects clerical candidates to be team players with a high degree of energy, flexibility, and initiative. Expectations are that clerical staff are clear verbal and written communicators, have well-developed interpersonal skills, well organized, and seek continuous self-improvement. 

Qualifications

Qualifications: Must be able to operate WORD, EXCEL, OUTLOOK and willing to learn all appropriate school programs including PowerSchool; Honeywell Instant Alert and other programs.

Salary/Benefits

Salary/Benefits:  $25.00 per Hour. Competitive salary and benefits.  Compensation determined by the Board of Education.
