Executive Secretary

Duties

  • Assists individuals in the application and registration of educator licensure. 
  • Issues work permits and gathers related documentation. 
  • Schedules school bus driver education training sessions. 
  • Assists with the set-up of professional learning sessions including bus driver training sessions. 
  • Collaborates cohesively with school bus trainers to coordinate training.  
  • Verifies bus driver education and training information.
  • Prepares and types letters, checks and forms.  
  • Maintains a variety of records.
  • Performs Livescan fingerprinting and background services checks for the general public. 
  • Performs data entry.  
  • Responds to inquiries from teachers, students and the general public.  
  • Reconciles various accounts.   
  • Performs light bookkeeping duties. 
  • Performs other related duties as assigned. 
  • Answer incoming telephone calls and directs calls accordingly. 
  • Greets clients/families/public for in-person appointments and provides assistance accordingly. 
  • Manage information and documents with a high level of confidentiality.
  • Order and maintain inventory of office supplies.

Qualifications

High school diploma, GED or other certificate of competency supplemented by three years of experience in responsible clerical work, or an equivalent combination of experience and training.

Knowledge, Abilities and Skills: 

  • Knowledge of general office operations, including record keeping. 
  • Ability to establish and maintain effective working relationships with others. 
  • Ability to coordinate multiple projects and activities simultaneously. 
  • Ability to communicate clearly, both orally and in writing. 
  • Demonstrate skill in the operation of modern office equipment, including copiers, facsimile, postage machines, computers, calculators and related equipment. 
  • Must be able to communicate with the public and other employees in a professional, tactful and courteous manner. 
  • Proficient in typing. 
  • Use tact, discretion, initiative and independent judgment within established guidelines.  
  • Critical thinking using logic and analysis to evaluate options to various situations to make decisions in accordance with laws, regulations and departmental policies and procedures. 
  • Possesses a strong knowledge background with Google Suite.

 

Mental and Physical Requirements

  •  Tasks involve some physical effort, i.e. some standing and walking, frequent light lifting (5-10 pounds). 
  • This work may involve climbing, bending, stooping, kneeling, twisting, reaching, sitting, finger dexterity, grasping, repetitive movements, talking, hearing, and visual acuity. The work is primarily performed indoors. 
  • Tasks may involve extended periods of time at a keyboard and desk.
