Duties

Reception & Office Operations
1. Serves visitors by greeting and welcoming students, staff, families, and community members to the district office.
2. Answers, screens, and forwards incoming calls while providing general information and assistance as appropriate.
3. Receives, sorts, and distributes mail, packages, and deliveries.
4. Maintains district office security procedures and visitor protocols.
5. Maintains a safe, organized, and professional reception area.
6. Operates and maintains standard office equipment and supplies.
Administrative & Clerical Support
7. Provides clerical and administrative support to the Principal.
8. Updates calendars, schedules meetings, and coordinates appointments as assigned.
9. Prepares correspondence, reports, forms, and documents.
10. Accurately files and maintains school records and documentation.
11. Monitors and maintains employee attendance records, including sick, personal, and vacation days.
12. Supports general office operations and provides assistance to the staff as needed.
Professional Responsibilities
13. Maintains confidentiality regarding students, staff, personnel matters, and district operations.
14. Demonstrates professionalism, reliability, punctuality, and a positive attitude in all interactions.
15. Maintains professional relationships with staff, parents, and community members.
16. Functions as a collaborative member of the support staff team.
17. Demonstrates flexibility and willingness to assist with school needs and special projects.
18. Performs other duties as assigned by the Superintendent or district administrators.
Qualifications
State of Illinois fingerprinting and background check in compliance with state code and district policy requirements. A fingerprint-based criminal history records check, and a check of the Statewide Sex Offender Database and Violent Offender Against Youth Database (when available) will be performed on the successful candidate as required by State law. Each newly hired employee must complete an Immigration and Naturalization Service Form as required by federal law.
• High school diploma or equivalent required; additional coursework or training in office administration or related fields preferred.
• One (1) to three (3) years of secretarial or clerical experience preferred, preferably within a public school or special education setting.
• Proficiency with Google Workspace, including Google Docs, Sheets, Forms, Drive, and Gmail.
• Working knowledge of basic office procedures and operation of standard office equipment.
• Strong interpersonal, organizational, and communication skills.
• Ability to maintain confidentiality and professionalism in all interactions.
• Ability to work collaboratively with students, staff, parents, administrators, and community members.
• Ability to multitask and prioritize responsibilities in a fast-paced office environment.
• Proof of a negative TB test is required.
• Completion of the online application and fingerprinting through the Regional Office of Education is required.
