Duties
Provides clerical and administrative support to the Superintendent and Director of Student Services.
2. Maintains professional and efficient office operations while responding to staff, student, parent, and community inquiries.
3. Answers and directs calls using a multi-line phone system.
4. Prepares correspondence, reports, forms, and other documents as requested.
5. Copies, files, distributes, and maintains records and documentation.
6. Maintains calendars, schedules, and office communications as assigned.
7. Assists with organizing meetings, student services documentation, and department records.
Student Services & Records Management
8. Maintains accurate student records, including special education and state reporting documentation.
9. Assists with ISTAR, ISBE reporting requirements, and online IEP management systems.
10. Supports the organization and maintenance of confidential student records in compliance with district, state, and federal requirements.
11. Assists with data entry, student enrollment information, and student services reporting.
12. Prepares and maintains transportation and bus route information in collaboration with the Transportation providers.

Working Conditions
• Regular office environment with frequent interaction with staff, students, and families.
• Occasional extended hours may be required during peak reporting or registration periods.
Qualifications
Qualifications
• State of Illinois fingerprinting and background check in compliance with state code and district policy requirements. A fingerprint-based criminal history records check, and a check of the Statewide Sex Offender Database and Violent Offender Against Youth Database (when available) will be performed on the successful candidate as required by State law. Each newly hired employee must complete an Immigration and Naturalization Service Form as required by federal law. The district retains the right to discharge any employee whose criminal background investigation reveals a conviction for committing or attempting to commit any of the offenses outlined in Section 5/21-23a of The School Code or who falsifies or omits facts from employment materials.
• High school diploma or equivalent required; additional coursework or training in office administration or related fields preferred.
• One (1) to three (3) years of secretarial or clerical experience preferred, preferably within a public school or special education setting.
• Strong organizational, communication, and time-management skills.
• Ability to organize and prioritize responsibilities to meet timelines and deadlines.
• Ability to multitask and respond effectively to day-to-day interruptions and changing priorities.
• Ability to work independently and collaboratively as part of a team.
• Ability to maintain confidentiality and exercise professionalism in all interactions.
• Proficiency with Google Workspace, including Google Docs, Sheets, Forms, Drive, and Gmail.
• Working knowledge of student information systems, ISBE reporting systems, ISTAR, and online IEP platforms preferred.
• Ability to operate standard office equipment and multi-line phone systems.
