District Office Administrative Assistant - 12 Month (Washington, IL)

Duties

 

DUTIES AND RESPONSIBILITIES: 

  • Assists the superintendent by drafting and proofreading documents as requested.
  • Publishes communication as directed or approved by administration to staff, parents and students using the student information management program, all-call program, and social media.
  • Maintains website information and updates as needed.
  • Assists the business services director with entry of accounts receivable, accounts payable, and payroll records.
  • Counts and verifies all cash/check receipts and delivers deposits to the bank.
  • Assists the business services director with activity fund transactions.
  • Manages extracurricular volunteer lists and forms.
  • Assumes School Board Administrative Assistant Duties
    1. Maintains School Board Policies
    2. Manages Board meeting agendas and maintain minutes
    3. Handles Board conference, meeting and training registration
    4. Publishes public hearing notices (Budgets, Bids, etc.)
  • Maintains door schedules for district calendar, summer schedule, school year schedule
  • Oversees district building rentals for community events including processing necessary forms and billing. 
  • Greets visitors and routes incoming calls for the district office.
  • Assist with planning and coordinating special events.
  • Manages and orders district office supplies.
  • Performs office routines and practices associated with a busy and productive office.
  • Maintains regular attendance and punctuality to ensure teamwork and the completion of job duties essential to the daily operation of the school. 
  • Performs other related tasks as assigned by the superintendent and other district office personnel as designated by the superintendent. 
  • Adheres to a professional code of ethics which includes confidentiality of school related matters and loyalty to the school district.

Qualifications

 

QUALIFICATIONS: 

  • Minimum of a high school diploma or GED equivalent.
  • Associate’s degree or higher preferred.
  • Successful completion of fingerprint based criminal background check (IL State Police and FBI), sex offender and violent youth offender screening, and employment physical.

Salary/Benefits

$40,000-50,000/year
