Business Office Coordinator

Duties

ESSENTIAL FUNCTIONS:

Benefits Coordination

  • Coordinate the District’s annual open enrollment process for all employee benefits, including health, dental, vision, life, and AD&D insurance.
  • Serve as the primary liaison between the District, insurance providers, and benefits brokers to ensure accurate and timely communication.
  • Coordinate and promote the District’s employee wellness program to support staff well-being and engagement.
  • Process and report workers’ compensation claims in collaboration with internal staff and third-party administrators (e.g., nurse triage services).
  • Ensure compliance with Affordable Care Act (ACA) reporting requirements, including data collection, validation, and submission.
  • Maintain and update insurance premium data within the District’s financial systems.
  • Reconcile monthly insurance invoices and statements, ensuring accuracy and resolving discrepancies.

Business Office Coordination

  • Assist in the development and maintenance of financial and analytical reports to support District decision-making.
  • Support the management and compliance of state and federal grants, including required reporting (e.g., transportation claims, Medicaid, Title programs, IDEA, Maintenance of Effort (MOE), School Maintenance Project Grant (SMPG), Annual Statement of Affairs).
  • Maintain accurate records of District fixed assets, including tracking, reporting, and compliance.
  • Support the development and coordination of bids and Requests for Proposals (RFPs).
  • Assist in preparing Board of Education materials, including reports, presentations, resolutions, and supporting documentation.
  • Support the preparation of key financial documents, including the annual budget, levy, financial projections, negotiations materials, and FOIA responses.
  • Assist with coordination and preparation for the District’s annual financial audit.

Transportation Coordination

  • Serve as the primary liaison between the District’s transportation provider and families to ensure clear, timely, and accurate communication.
  • Collaborate with the transportation provider to optimize bus routes for efficiency, safety, and cost-effectiveness.
  • Coordinate and manage the District’s pay-to-ride program, including enrollment and billing processes.
  • Assist in identifying and assessing hazardous routes in accordance with IDOT guidelines.
  • Monitor transportation contractor compliance with all state-mandated driver requirements, including background checks, physicals, and drug testing.
  • Oversee the District’s transportation routing system (e.g., Versatrans or Tyler Drive) to support accurate routing and real-time bus tracking for families.
  • Coordinate and streamline requests for extracurricular transportation, ensuring accurate cost allocation to schools or departments.
  • Conduct regular performance reviews with the transportation provider, monitoring key metrics such as on-time performance, safety incidents, and fleet maintenance.

Qualifications

EDUCATION, CREDENTIALING AND/OR EXPERIENCE:

Education: Bachelor’s degree in Business, Finance, Human Resources, Public Administration, or a related field preferred.

Experience: Experience in school district operations, business office functions, benefits administration, or transportation coordination preferred.

KNOWLEDGE, SKILLS AND ABILITIES:    

  • Thorough knowledge of standard office practices, procedures and techniques regarding school finance
  • Ability to perform quantitative data assessment and analysis
  • Ability to operate a variety of standard office computer equipment, including proficiency in Microsoft Office, Infinite Visions and Google Docs software programs
  • Possesses high levels of written and oral communication with supervisor, employees, vendors and the public
  • Ability to successfully complete multiple projects simultaneously
  • Ability to manage a schedule and meet deadlines
  • Ability to establish and maintain effective working relationships with associates and the general public
  • Possess a high level of organizational skills with attention to detail

 

Salary/Benefits

$60,000 - $75,000
