Administrative Assistant Elementary Schools

Duties

SUMMARY

This position provides comprehensive clerical and administrative support to the school principal and staff, ensuring smooth daily operations by managing schedules, handling communications, maintaining student records, and coordinating events, while upholding confidentiality and prioritizing student needs within the public school district. 

DUTIES
Computer Applications:

  1. A thorough knowledge of word processing, database and spreadsheet (Excel) applications; 
  2. Ability to learn new programs;
  3. Assist in staff training of computer applications, Word, Windows, Excel, etc.

 Office:

  1. Answer telephones and take messages;
  2. Handle incoming and outgoing pony;
  3. Maintain and order supplies;
  4. Type various correspondence and reports;
  5. Maintain and order supplies for copiers;
  6. Maintain postage and fax/copy machines; 
  7. Annually update staff emergency call list.

 Registration:

  1. Withdrawal students leaving the building to other districts; 
  2. Keep yearly log of both incoming and dropped students with their destination; 
  3. Process all requests for student records; 
  4. Maintain student information in computer; 
  5. Collect applicable parent and student information and send to Student Services Department; 
  6. Schedule incoming students into classes; 
  7. Keep student emergency card information updated in computer; 
  8. Flag emergency cards and maintain log of paperwork for all custody and restraint situations;
  9. Prepare and send all transfer request notices to those transfers currently in your building for the following year.

 Student/Staff Attendance:

  1. Enter daily student attendance;
  2. Issue tardy and dismissal slips;
  3. Review daily attendance calls;
  4. Call home of absent students who have not called;
  5. Prepare list of detention for excessive tardies;
  6. Report daily truancy; keep record of students dismissed during the day;
  7. Update all attendance throughout the day as changes occur;
  8. Run monthly attendance report and balance;
  9. Keep staff attendance record;
  10. Responsible for finding substitutes in the building or doing hourly subs (teachers) when regular subs are not available;
  11. Email Human Resources for substitutes as needed.

 Reports/Files/Grades:

  1. Maintain all office files;
  2. Issue homework requests;
  3. Prepare and mail retention letters; 
  4. Prepare and maintain student class/master/bus lists;
  5. Prepare and distribute monthly attendance reports for regular and special education students;
  6. Prepare, submit, and maintain records of building drills for fire, tornado, intruder, etc.;
  7. Maintain building calendar;
  8. Forward lunch applications to the board office, as needed;
  9. Prepare necessary forms and schedules for Parent/Teacher Conferences;
  10. Keep record of all DCFS visits (logging picture ID, name of student being seen, date of visit, etc.);
  11. Type and mail all school suspensions – route information to bus company, teachers, etc.;
  12. Prepare, count and distribute duplication of monthly menus, newsletters and fliers for students; 
  13. Assist principal with promotion of students for the next school year; 
  14. Promote all files in record cabinet; 
  15. Promote all students in the computer;
  16. Send (active/drop) permanent records to appropriate person at year end; 
  17. Prepare specified year end reports;
  18. Prepare all necessary cards, packets and information needed for the following school year;
  19. Duplicate material, maintain files and order supplies if necessary for Sabre, Gifted, Band, Achievement Awards, Extracurricular positions, fundraising information, IRP..);
  20. Input necessary data in Skyward;
  21. Track free/reduced lunch applications for state reports.

 Supervision/Assistance:

  1. Supervise/train student co-op; 
  2. Assist students, parents, and staff with their daily needs; 
  3. Notify parents when children are sick.

 Curriculum:

  1. Reproduce, distribute and maintain handbooks, and materials.

 Finance:

  1. Prepare payroll for all certified and non-certified staff members, substitutes and co-op students in the building;
  2. Prepare Title I and Grant payrolls;
  3. Deposit all money collected for all applicable accounts;
  4. Write checks and post in Excel – post in ledger as back up;
  5. Prepare all 222 requisitions;
  6. Prepare monthly/yearly activity statements and send to Accounting;
  7. Reconcile bank statements on a monthly basis;
  8. Year end appointment with Accounting to log in all books and requested paperwork for auditors.

 Transportation:

  1. Schedule all transportation requests. (Ex. Field Trips..);
  2. The Special Education Greeter and Enrollment Center Administrative Assistant will balance the monthly extracurricular bus reports and submit to accounting;
  3. Send invoice for all transportation requests.

 Preschool (if applicable):

  1. Coordinate field trips for Early Childhood and Partnership for Kids;
  2. Assist Partnership for Kids with news letters and mailings.

 Other duties as assigned by the supervisor.

Qualifications

QUALIFICATIONS

  1. Must hold a high school Diploma or equivalent.
  2. Must be able to pass the District Administrative Assistant aptitude test.
  3. Must have excellent oral and written communication skills to work with teachers, education support personnel, building administrators, and the general public.
  4. Enforce school regulations and policies in a professional manner.
  5. Ability to maintain good working relationships with fellow employees and pupils.
  6. Must be able to lift and carry up to 50 lbs. and have the ability to push/pull up to 10 lbs.
  7. Must be detail oriented.

Salary/Benefits

Minimum salary will be $21.40/hour

Additional Notes

Scheduling: The work hours for this position are from 7:15 a.m. to 3:45 p.m.  The schedule is subject to change with district demands in compliance with the applicable collective bargaining agreement.

Terms of Employment: Union 10-month position

Evaluation: Building Principal, in accordance with the Granite City Community Unit School District #9 Board of Education policy, will evaluate performance of the job annually.
