Duties
Reporting to the Director, is responsible for the master inventory of land, buildings and equipment for the Agency; prepares and analyzes property reports and makes statutory reports to the Department of Central Management Services, State Property and the State Comptroller.
- Coordinates all functions for the Agency Property Control System including: 1) maintenance of the master inventory for offices located in Springfield and Chicago; 2) upkeep of long-term sign outs for staff and sites throughout the state; 3) facilitates resources to provide agency management with the necessary property control reports to assist in the decision making for property items that have outlived their usefulness and properly disposes of the items.
- Coordinates annual inventory of all agency property.
- Collaborates with agency management and the respective departmental property control staff to make every effort to locate property items which are on the Agency inventory as unlocated.
- Makes determination if the property item should be removed from agency inventory records as missing property.
- Makes necessary corrections to the Agency inventory as a result of the annual inventory.
- In coordination with the Agency's Records Management Coordinator, serves as department liaison for records management.
- Reconciles property control records monthly with the Management Information Database Accounting System (MIDAS).
- Prepares an analysis of quarterly property accounting unit reports and makes statutory reports to the State Comptrollers Office.
- Files other appropriate reports to CMS State Property and the State Comptrollers Office.
- Serves as lead within the department to work with data systems to implement any necessary property control system updates and changes.
- Serves as liaison to warehouse, technology support, and accounting units with regards to new, rollover and surplus property.
- Serves as the main contact with regard to property control with external auditors.
- Serves as department records coordinator.
- Serves as back-up to process and submit agency payment vouchers by electronic transmittal to the Comptroller.
- Performs other duties as assigned.
