Duties
Reporting to the Director, performs complex, technical and physical duties as they apply to the following activities: agency records management, warehouse/central receiving functions, and facility management.
- Serves as Agency records management contact responsible for identification and maintenance of all Agency records.
- Serves as a liaison between departments and the State Records Center.
- Develops and prepares records inventory worksheets for submission to the State Records Commission for evaluation and determination of retention periods, methods of retention, and records schedule numbers.
- Coordinates and assists department staff on completion of records transfer sheets and maintains the master files of all agency archived records.
- Provides daily upkeep and organization of records storage area.
- Serves as coordinator for warehouse shipping/receiving functions.
- Processes warehouse paperwork daily.
- Logs in receivables in warehouse inventory control system.
- Logs in warehouse service request forms.
- Maintains the warehouse inventory control system and generates monthly reports of usage.
- Performs monthly, quarterly, and annual inventory inspections to maintain accuracy.
- Works with agency property control for surplus items.
- Reviews written procedures for the facility management procedures manual, all agency emergency and employee safety procedures, and provides general office support activities.
- Provides backup assistance for procedures relative to building-wide coordination of disaster/safety plans for emergency evacuations.
- Provides back up assistance of duties pertaining to the Agency's telecommunications staff member as needed.
- Performs other duties as assigned.
