Duties and Responsibilities
Coordinate numerous difficult and technical administrative functions to support organizational needs as directed by the Superintendent and Board of Education President
Efficiently make independent decisions within established rules that address immediate organizational needs
Construct letters and multi-page documents as requested; Transcribe audio tape and develop minutes for publication
Communicate directly, effectively, and accurately with Superintendent, Board of Education, and other organization members regarding specific priority information.
Exhibit sound judgment and ability to maintain confidentiality
Establish organized cataloging systems and revise administrative support processes and documents as deemed necessary
Great independent follow up and follow through skills on daily and routine responsibilities
Direct the work of other office personnel as requested by Superintendent
Professional office dress and ability to work from a team approach
Operate a variety of office equipment including computer, fax machine, calculator, and multi-function copier
Exhibit proficient skills and knowledge of Microsoft Suite, including Word, Excel, and PowerPoint
Accurately interpret policies, administrative regulations and legislative material
Establish a professional environment and maintain appropriate etiquette that positively represents the Superintendent and Board
Exercise general mathematical computation skills and financial understanding
Communicate positively to all employees and community members at all times
Effectively de-escalate via phone or in-person as deemed necessary
Set priorities, delegate tasks, and provide follow-up as necessary to complete priority projects
Obtain and exercise Notary Public designation
Perform additional duties as designated by Superintendent
Qualifications
Minimum Qualifications:
Education: Minimum of a Bachelor’s Degree in Business Administration, Human Resource, Public Relations or a related field. Longstanding successful experience may be considered in lieu of a Bachelor’s Degree or the equivalent. Training must demonstrate the ability to perform all duties at the CEO secretarial level, preferably in a public education or corporate environment
Experience:
A minimum of three years of effective demonstration of advanced secretarial procedures and office management techniques which model excellent organization and follow-through skills; correct English grammar, punctuation, spelling, and proofreading; exemplary writing, record keeping and filing systems; general finance and accounting principles; human resource experience, public relations, newsletter writing and publishing, ability to operate standard office equipment and proficient in Microsoft Suites software applications. Ability to activate research via Internet; knowledge of Robert’s Rules of Order and basic components of Board packets and meeting documentation; familiarity with standard BOE policies and education terminology and familiarity with keeping calendars, arranging hotel, travel for large groups and understanding of the Open Meetings Act.

Position Summary:
The Executive Secretary to the Superintendent and Board of Education performs highly responsible, confidential, and complex secretarial assignments for the Brookwood District 167 Superintendent and members of the Board of Education. The Executive Secretary officially represents the Superintendent and Board members as the official administrative support in matters that require contact with school district employees, outside governmental agencies, parents, the community, human resource, PR person, and other priority parties within a school district. This position is within the Confidential unit of the district operations and does require that the Executive Secretary be involved in matters of confidential business.
