The essential duties and responsibilities shall include but not be limited to:
1. Processes payroll data for all school district employees and maintains accurate, up-to-date files of all payroll information, prepares, logs and verifies checks.
2. Distributes semi-monthly paychecks to District employees.
3. Attends IDES (Illinois Department of Employment Security) hearings with the Principal.
4. Prepares required governmental reports; retirement, W-2's etc.
5. Distributes payroll deductions in compliance with local, state and federal statutes.
6. Works with government and retirement agencies to provide information.
7. Processes mortgage verifications, final salary affidavits and employment verification.
8. Processes employee's leaves of absences.
9. Processes complete E-rate yearly.
10. Maintains attendance and vacation records of all personnel with a semi-annual statement distributed to all District employees with updated information.
11. Maintains all records and updates of certified staff members including yearly updating.
12. Maintains attendance and vacation records of all District personnel.
13. Keeps applications and records of substitute teachers.
14. Orders supplies and materials for the district’s needs, being a member of the South Suburban Purchasing Co.
15. Maintains complete process of billing and accounts payable for District.
16. Maintains past due consumable/bus fees/NSF checks, also working with an outside credit department.
17. Prepare monthly report to Illinois Municipal Retirement System of Illinois and process end of fiscal year reporting for all non-certified staff.
18. Prepare monthly report to Teachers Retirement System of Illinois and process end of fiscal year reporting for all certified staff and substitutes.
19. Prepare monthly report to Teachers Health (THIS)
20. Prepare monthly report to Teachers Retirement System if Illinois 2.2 and process end of fiscal year reporting.
231. Keeps records of health insurance and dental coverage for all District employees.
22. Prepares monthly or semi-monthly payments from payroll to District employees with annuities or other payroll deductions.
23. In charge of all Corporate Purchasing cards and expenses.
24. Answers phones and responds to routine questions.
25. Prepares required information for yearly end of year auditors.
26. Completes quarterly and year end grant reporting to the state in the IWAS internet program.
27. Maintain and process all Special Education EDWIN files from IEP’s for State requirements.
28. Processes all information to be handed out to Board Members.
29. Prepares and sets up Media Center for all Board and Committee Meetings.
30. Maintain and file all reports from Treasurer’s office.
31. Prepare year end Special Education transportation report to the State.
32. Prepare and initiate all information for third party billing for Medicaid and Administrative Outreach Program.
33. Prepare all information for District staff members for the beginning of each school year.
34. Yearly registration duty.
35. Typing of letters for superintendent’s needs.
36. Prepares postings of vacancies for internet access and bulletin board postings.
37. Prepares appointments for Micro Fieshing of all appropriate school data.
38. In charge of all leased equipment and supplies.  Making appointments for building maintenance special needs.
40. Type, prepare and distribute semi-annual Sandridge news letter to community members.
41. 45 day notice letters for Free & Reduced Lunch Program.
42. Maintain Imprest Fund and Petty Cash.
43. Type up employee Contracts.
44. Maintaining emergency call list.
45. Maintaining weekly employee sign in sheets.
46. Maintaining all government notices for building bulletin boards.
47. Open and stamp all mail for self and superintendent.
48. Cover school secretary duties when needed.
49. All secretarial needs for Superintendent.
50. CPR/AED Certified.
51. Ability to operate a personal computer.  Experience in Excel, Microsoft Word, PowerPoint and Microsoft Works.
