Duties

Position Purpose

Under the direct supervision of  the Director of Specialized Services, provide a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and District policy requirements.

Essential Functions:

  • Schedule  and Developing IEPs
  • Send Notice of IEP Team Meeting to ALL invited members10 calendar days before the meeting date and document all responses (i.e., administrator, parent, related service providers, and general education teachers)
  • Arrange for meeting room and teacher coverage
  • Gather input/data and draft the online IEP
  • Provide copies to parents
  • Send IEP with original signatures to Special Education Department within 5 school days
  • Return school file to locked cabinet/room
  • Ensure and confirm that each student has a special education folder. Contact the Special Education Department if information is missing or incomplete.
  • Verify that each IEP is current (no more than 365 calendar days since last IEP review)
  • Read and review each IEP
  • Disseminate IEP information to general education teachers and relevant service providers (e.g., therapists, bus driver, etc.).
  • Provide to all general education teachers and obtain signatures on Verification of IEP Dissemination (HB4384)
  • Prepare and mail dated IEP Progress Reports in accordance with school’s Progress Reports/Report Cards schedule
  • Maintain copies of each IEP Progress Report in students’ files
  • Complete Transition Activities for students age 14 and older
  • Complete/submit Medicaid billing for eligible students


Physical Demands
Nature of work requires an ability to operate standard business office equipment.  Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.  Physically demands require the ability to stand, bend, reach high and low, ay.  In addition, walking up and down stairs several times a day.  Must be able to lift 15 to 20 pounds for short periods of time and push and pull 15 to 20 lbs. 
 
Working Conditions
Majority of work performed in a general office environment.  Position requires availability for extended hours plus non-traditional hours required to perform job duties.  Also requires participation and attendance at organization-sponsored events and meetings.
 
 Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the department.

Equipment

Travel Requirements
Limited travel to and from meetings may be required.

  • Ability to process paperwork accurately according to standardized procedures
  • Ability to maintain confidentiality of information regarding students, employees and others
  • Organizational and time management skills
  • Knowledge of office management procedures
  • Knowledge of Student Managment Systems (Power School, Embrace, I-Visisons, ISBE Student Information System, etc.) 
  • Knowledge of laws and regulations, District policies and procedures, principles, guidelines, and best practices related to department (e.g., Pupil Services, Human Resources, Facilities and Business)
  • Ability to work cooperatively and positively with student’s parents/guardians
  • Strong technology skills

Qualification Profile
Hence providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:

  • Graduation from high school.
  • College level course work in business, word processing, and office procedures preferred.
  • Associates or Bachelor's degree preferred.
  • Successful experience with office management in related area preferred.
