Duties

SUMMARY:
Community Unit School District 200 is seeking a Data Systems Assistant.  Under the direction of and as a direct support for the Information Systems Manager, this person will act in an assist capacity to help maintain, document, support and provide problem resolution for all data management systems. The Data Systems Assistant will perform a variety of support services with a heavy focus on student data management.
 
QUALIFICATIONS/SKILLS:
 
Education, Training and Experience

  • Minimum High School Diploma with some college level coursework desired
  • Experience in the utilization of data management systems
  • Technical writing experience preferable

Knowledge of:

  • School District business and student applications, procedures, policies and practices
  • Understanding of general business practices
  • School District State Reporting requirements
  • Proficiency in Microsoft Office 2016 applications
  • Proficiency in Google Apps

Skill and Ability to:

  • Communicate effectively in both oral and written forms
  • Research and resolve inquiries
  • Follow directions and complete tasks under normal supervision
  • Work under time constraints to meet deadlines
  • Set priorities and organize, schedule, and coordinate a variety of activities and projects
  • Establish and maintain cooperative working relationships with those contacted during the course of work
  • Learn and adapt easily to changes in technology
  • Retrieve data to prepare documents, and produce a variety of reports from databases
  • Maintain a professional manner of behavior and attire
  • Maintain in a mode of continuous professional development
  • Adapt to needs related to data manipulation using a variety of software applications and tools
  • Show initiative with assigned tasks

 
DUTIES AND RESPONSIBILITIES:
 
Data Systems Management

  • Assist in reviewing standards and procedures regarding current student and business data management systems  
  • Test, troubleshoot and resolve issues with software functionality
  • Primarily responsible for the creation and maintenance of data systems user accounts and security access
  • Assist with daily data systems operations, data systems administration and data systems support resolution
  • Modify and amend data in student management system
  • Assist with student management system user interface modifications, outputs, data and file structures and data system specific training
  • Analyzing requests from users to assist with the development and implementation of the most efficient and cost-effective solutions
  • Other duties as assigned

Technical Assistance

  • Assist in supporting users with application training and technical support
  • Provide primary support for Parent and Student Portal users  
  • Create and assemble training manuals and digital training presentations  
  • Assist with supporting end-user training sessions
  • Document processes and procedures to assist users in implementing new system modules and updating existing modules
  • Support all aspects of student data information systems and business systems users
  • Other duties as assigned

Office Operations/Data Reporting

  • Monitor and report to Information Systems Manager any deviation from data system procedures or policy
  • Assist with coordinating meetings, preparing correspondences and presentations and project management related tasks
  • Support existing products and services by acting as an agent for problem and operational issue resolution
  • Assist in the maintenance of a variety of electronic file systems
  • Review user requests and requirements related to reporting needs
  • Organize and analyze data for efficient reporting and retrieval
  • Assist in developing procedures, forms, and other organizational tools to implement and manage efficient workflow related to the student data management related systems
  • Assist with the preparation and maintenance of reporting as required by the Illinois State Board of Education
  • Other duties as assigned
