High School Secretary

Duties

  • Welcome visitors in a courteous and personable manner.
  • Place and receive telephone calls in a courteous and personable manner and record messages.
  • Type correspondence, reports, notices and recommendations.
  • Maintain student records, attendance and permanent records.
  • Maintain a regular filing system and process/distribute incoming correspondence as instructed.
  • Maintain a daily record of student absences (including tardy and early departure). Call parents of absent students per state law.  Send monthly attendance to the District office on the 1st of each month.
  • Order and maintain stock supplies as approved by the Building Principal.
  • Perform bookkeeping tasks associated with the specific position, including activity, imprest & ed funds.
  • Deposit school monies and manage transcript requests.
  • Maintain a daily record of staff absences and send a bi-weekly absence report to the District office Monday A.M.
  • Arrange for substitute teachers.
  • Post report cards on Skyward Parent Portal.
  • Prepare and assist in Registration in August of each year.
  • Maintain all records through Skyward.
  • Maintain all student records through ISBE (Illinois State Board of Education) including adding/exiting students, assessment pre-labels & corrections.
  • Assist teachers in preparing instructional materials through the use of secretarial skills.
  • Schedule parent-teacher conferences.
  • Cooperate and communicate with the staff, students, parents and community representatives.
  • Contact parents of children needing assistance.
  • Serve as registrar for new students.
  • Prepare necessary reports when required by the State.
  • Manage Raptor security system for visitors.
  • Prepare gate money for extra-curricular activities.
  • Organize purchase orders.
  • Send eligibility reports to coaches weekly.
  • Manage the high school bell system.
  • Maintain records for all high school out of district students

Qualifications

  • High School Diploma
  • Job experience as a secretary in an educational setting preferred
  • Working knowledge of basic office procedures and operations of common office equipment and machines
  • Knowledge of accounting procedures
  • Knowledge of Microsoft Office, Excel, & Google Apps preferred

Additional Notes

Reports to:  High School Principal and Superintendent

Job Goal:  To assist the High School Principal and Superintendent in the administration of his/her duties relative to the general clerical work necessary to carry out the educational process.

CONTRACTED DAYS:  200 day contract including pupil attendance days, parent/teacher conferences, and institute days

EVALUATION:  Performance of this job will be evaluated on an as needed basis in accordance with provisions of the Board’s policy of Evaluation of Non-Certified Personnel.
