Reports to: 

     Principal, Assistant Principal, Athletic Director


Job Goal: 

    To provide organization and assistance to the School Community.

    To be a liaison between the School Community and the public, both on the phone and in person.  To assure the smooth, efficient and safe operation of the school through conscientiously monitoring the comings and goings of students, staff and public.  To maintain accurate records, oversee communications from the office and help the administration team with his/her duties.

Performance Responsibilities:

  1. Coordinate with the Administrative Team all meetings and appointments
  2. Act as receptionist for all incoming calls and personal visits. Receive public and staff in a pleasant and professional manner.  Take Phone messages accurately and forward to appropriate staff members.  Receive and communicate with public and staff in a polite and professional manner.
  3. Oversee the checking in and out of students who enter and/or leave the school for any reason other than the normal beginning and dismissal times.
  4. Maintain and update records in a timely and efficient manner.
  5. Assist the Administrative Team with student discipline reports and other responsibilities
  1. Prepare letters, memos, work orders, handbooks, and other communications for the Administrative Team
  2. Help maintain a safe environment in the school by distributing and dating visitor passes
  3. Maintain confidentiality and propriety in office practice and records
  4. Assist in the acquisition, preparation and disbursement of instructional materials as requested
  5. Using the network word-processing program, data base and spreadsheet, create and retrieve information as needed
  6. Coordinate staff, student and parental needs with administration
  7. Process incoming office mail and distribute appropriately
  8. Handle incoming funds, using established financial procedures in accordancewith state and Board of Education policies and expectations
  1. Do filing of all discipline information, and keep data base up-to-date with discipline information
  1. Assist with all scheduling, correspondence, etc. regarding students
  2. Register new students/prepare Pre K-8 registration in April to be delivered in May and process in May and June into student data system
  3. Keep organized student athletic records per Athletic Director.
  4. Coordinating with teachers – prepare school supply lists
  5. Responsible for preparing all awards for awards day
  6. Keep inner and outer office area in a clean, efficient manner
  7. Attend at least one professional growth workshop during the year
  8. Assist Principal in Graduation prep. Order gowns in January and diplomas in February
  9. Assist in maintaining SIS data
  10. Coordinate book orders for teachers
  11. Maintain student data system calendar and rollover in coordination with District staff
  12. Prepare and distribute conference forms.
  13. Work with other secretaries when necessary for the completion of a project
  14. Coordinate with Athletic Director and Transportation Manager student athletics schedules which includes posting on school website and maintaining rosters
  15. Assist students when they need help
  16. Assist with teacher and student inventories
  17. Assist Administrative Team with beginning and Year end activities
  18. Receive bus information from students and parents. Communicate such information with transportation manager and other relevant staff members and students.
  19. Responsible for all duties affiliated with grading i.e. report cards
  20. Responsible for ordering workbooks, planners, calendars, hall passes grade books and lesson plans
  21. Assume any other duties that the Administration may deem necessary for the smooth running of the office
