Duties

We are seeking a highly organized and detail-oriented individual to join our team as a secretary at Herrin Elementary School. This position plays a key role in supporting daily operations, maintaining the student management system, and ensuring accurate state/federal reports. Below are the duties for this role:

Duties:

  • Assist in the daily operations of the school office, including greeting visitors, answering phone calls, and responding to inquiries
  • Maintain and update student records in the student management system, ensuring accuracy and confidentiality
  • Assist with student enrollment, transfers, and withdrawals, following district policies and procedures
  • Generate and distribute student schedules, attendance reports, and transcripts as needed
  • Collaborate with teachers and staff to support student needs and maintain a positive school environment
  • Monitor and maintain school supplies, equipment, and inventory
  • Prepare and submit state and federal reports accurately and on time, following guidelines and regulations
  • Coordinate with district personnel on data entry, verification, and reporting requirements
  • Assist with organizing and scheduling meetings, workshops, and events as directed
  • Perform general clerical tasks, such as filing, copying, and organizing documents
  • Other duties as assigned by administration

Qualifications

  • High school diploma or equivalent; associate's or bachelor's degree preferred
  • Proficiency in Microsoft Office Suite, Google Products and student management software (PowerSchool SIS)
  • Excellent communication, organizational, and multitasking skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Previous experience in a school or educational setting is preferred
  • Knowledge of state and federal reporting requirements is a plus
